Delegation is the act of entrusting a task or responsibility to another person while retaining ultimate accountability for its completion. It involves transferring authority, along with the associated responsibility, to someone else to carry out specific tasks or make decisions on one's behalf. Delegation is a crucial aspect of effective leadership and management as it allows individuals to focus on higher-level tasks, promotes team development, and increases overall productivity.

Successful delegation typically involves the following steps:

  1. Identify Tasks: Begin by identifying tasks or responsibilities that can be delegated. These tasks should be appropriate for the skills and capabilities of the person to whom they will be assigned. Consider factors such as complexity, time sensitivity, and importance.

  2. Select the Right Person: Choose the most suitable individual or team member for the delegated task. Consider their skills, knowledge, experience, and workload. Ensure that they have the necessary resources and support to complete the task successfully.

  3. Provide Clear Instructions: Clearly communicate the objectives, expectations, and constraints of the task. Provide any relevant background information, deadlines, and desired outcomes. Make sure the person understands what is expected of them and encourage them to ask questions if anything is unclear.

  4. Grant Authority: Delegate the necessary authority to the person to enable them to carry out the task effectively. This includes granting decision-making power and the authority to take necessary actions within defined boundaries. Trust the individual to make appropriate decisions and support them in their role.

  5. Offer Support and Resources: Provide the necessary support, resources, and guidance to help the person succeed in their delegated role. This may include training, access to information or tools, and regular check-ins to provide feedback and assistance as needed.

  6. Monitor Progress: Keep track of the progress of the delegated task without micromanaging. Set up checkpoints or milestones to assess progress and address any issues or concerns that arise along the way. Provide feedback and encouragement to keep the person motivated and on track.

  7. Review and Evaluate: Once the task is completed, review the outcomes and evaluate the success of the delegation process. Celebrate achievements and acknowledge the contributions of the person who carried out the task. Identify any lessons learned or areas for improvement for future delegation efforts.

By following these steps, leaders and managers can delegate effectively, empowering their team members to take on new responsibilities and contribute to the overall success of the organization.


You are the health centre in charge and notice that you have little time to carry out all the tasks that are supposed to be included in the report to be submitted to District Health of Office. You decide to delegate some tasks to your subordinate so that report can be compiled on time.

STEPS FOR A SUCCESSFUL DELEGATION

Define the task: Confirm in your own mind that the task is suitable to be delegated. Does it meet the criteria for delegating?(2 marks)

Select the individual or team: What are reasons for delegating to this person or team? What are they going to get out of it? What are you going to get out of it?(2 Marks)

Explain the reasons: must explain why the job or responsibility is being delegated.  Why to that person or people? What is its importance and relevance?(2 Marks)

State required results: What must be achieved?              (1/2 Mark)

Consider resources required: Discuss and agree what is required to get the job done (1/2 Mark)

Feedback on results: It is essential to let the person know how they are doing, and whether they have achieved their aims. Agree deadlines: When must the job be finished. (1Mark)
